Special Routine — Overview & General Rules

What this article covers
The Special Routine covers anything that cannot be ordered directly via Signomatic. This article gives an overview of the general rules that apply to all special orders. Each special type has its own separate article with specific pricing and handling instructions.

General rules — applies to all special orders
- CX is responsible for finding out any information not clearly stated in the special routine.
- CX is responsible for entering all agreed and necessary information into the order in SignAdmin when confirmed — not just verbally or in other places. This also applies to sub-orders.
- Always add a minimum of +2 extra manufacturing days to all special orders. This is the default — it can increase or decrease depending on the order and communication with production.
- Always separate special products from standard products when calculating minimum value.
- Always communicate the exact deadline to production — not just "as soon as possible."
- By default, customers can order additional signs for a specific special order within one month without reaching minimum levels again. Beyond one month, discuss case by case with the CX Lead.
- Always add to the Slack Special List if the correct criteria are met.
- When accepted, always move to Special Flow and add a comment under Prepress (unless stated otherwise in the specific article).
- Always include an extra note if the customer expects the same design as a previous order.
- If you need two extra CX eyes — post the finalized quote in the CX Special Channel for internal support.
B2B vs B2C
- B2B — most special types are available. Follow the specific article for each type.
- B2C — special sizes, thickness, shape and cut out are declined. Guide the customer toward the closest standard product instead. Never just say no — always offer an alternative. Exception: if a B2C order exceeds SEK 5,000, handle it the same way as a B2B inquiry.
Slack Special List — when to add
Add a created quote to the Slack Special List as soon as the order meets any of the following criteria:
- Value is SEK 15,000 or more
- More than 10 full sheets (helskivor), regardless of material
- More than 500 signs
- Total weight over 35 kg
- Non-standard materials
- Non-standard products (e.g. contour-cut in milling, printed vinyl, signs taped together)
- Special sorting, bundling, or delivery to multiple addresses
- Order will be processed through the tape machine
Pricing rules — general
- All costs are ex VAT.
- If a Quote Template is available → always use it for calculated price.
- Extra work time is charged at SEK 395/hour (per started 30 minutes) unless stated otherwise in the specific article.
- Always provide the nearest standard option as an alternative quote alongside any special quote.
- Always explain to the customer why the price is higher for a custom order.
Key test signs
If CX sends a key test sign to a customer that is highly customized, always check with production first to confirm we can handle larger orders of it. Key test signs must always be noted under Pack information in SignAdmin.
