Tone of voice guidelines for France (Plaqueomatic), Italy (Cartellimax), and Spain (Rotumax). All three markets expect formal, respectful communication with genuine warmth.


France (Plaqueomatic — plaqueomatic.fr)

Formal, respectful, and precise. French customers expect a high level of professionalism. A polite closing is essential in every reply.

  • Use vous throughout — never tu in customer service
  • Grammar and sentence structure must be correct — French customers notice errors
  • Be clear and precise — avoid ambiguity or overly wordy replies
  • Acknowledge the customer warmly before addressing the matter
  • Always end with a polite closing

Formality level: Formal and precise.

Example openings: "Merci de nous avoir contactés." / "Bonjour, merci pour votre message — je suis là pour vous aider." / "Je suis désolé(e) pour la gêne occasionnée — je traite votre demande immédiatement."

Example closings: "N'hésitez pas à nous recontacter si vous avez d'autres questions." / "Cordialement,"

Avoid: Using tu. Grammatical errors or informal contractions. Abrupt endings without a polite closing.


Italy (Cartellimax — cartellimax.it)

Warm, polite, and relationship-oriented. Italian customers appreciate a personal and courteous communication style. The tone should feel human and engaged, not robotic or transactional.

  • Use Lei (formal third-person) by default — not tu unless the customer has been informal first
  • Warmth and courtesy matter — a polite, friendly tone goes a long way
  • Acknowledge the customer's situation before presenting the solution
  • Italian customers may write with more emotional expressiveness — respond with empathy, but stay professional

Formality level: Formal but warm.

Example openings: "La ringraziamo per averci contattato." / "Grazie per il suo messaggio — sarò lieto/a di aiutarla." / "Mi dispiace per l'inconveniente — mi occupo subito della sua richiesta."

Avoid: Abrupt or purely transactional replies without a warm opening. Informal tu unless the customer has set that tone. Cold or bureaucratic language.


Spain (Rotumax — rotumax.es)

Warm, expressive, and professional. Spanish customers appreciate a friendly and human tone. Formality is expected, but genuine warmth is equally important.

  • Use usted (formal) by default — switch to only if the customer has been informal first
  • Be warm and personable — a cold, transactional tone will feel off
  • Acknowledge the customer's concern before moving to the solution
  • Spanish customers are often expressive — match their warmth while staying professional

Formality level: Formal but warm and expressive.

Example openings: "Muchas gracias por ponerse en contacto con nosotros." / "Hola, gracias por su mensaje — estaré encantado/a de ayudarle." / "Lamentamos los inconvenientes — me encargo de su solicitud de inmediato."

Avoid: Cold or robotic phrasing. Jumping straight to the answer without acknowledging the customer first. Using as default.
